Client inbox

Every client conversation from WhatsApp, Instagram, and Messenger in one shared thread — see what needs a reply, respond, and tie it to the client.

Open Inbox in the sidebar. Every direct message a client sends your connected channels — WhatsApp, Instagram, and Messenger — lands in one shared list, so your whole front desk works from the same place instead of juggling three phones.

Work the queue

The list opens on Needs reply — your action queue, everyone still waiting on you. Replied holds what you've already answered (handy for chasing a client who's gone quiet), and Archived is what you've cleared away. Filter by channel to see only WhatsApp or only Instagram, or use the search box (Search name or message…) to jump straight to a name or a phrase from any message. When you've answered everyone, the header simply reads Caught up.

Reply

Open a thread and type in the composer. Two modes sit above the box:

  • Reply — your message goes to the client on their own app. Press Send or ⌘/Ctrl+Enter.
  • Private note — an internal note only your team sees, never sent to the client. The box turns amber so the two can never be confused.

You can attach a photo or a file, and on WhatsApp record a voice note straight from the composer.

The 24-hour window

WhatsApp only lets you message a client freely within 24 hours of their last message. After that, you'll need them to write first — Gloora tells you when a thread is outside the window instead of letting a reply fail silently.

Tie it to the client

A conversation is far more useful when it's linked to a client record. Use Link to customer to match the sender to someone in your client book — or create a new client in the same step — and every future message from that number auto-matches from then on. Once linked, the panel beside the thread shows their contact details and booking history, and you can start a New booking without ever leaving the inbox.
